Reservation Procedure
A deposit of $100 to $300 (depending on tour packages) per person is required in order to request services. Failure to meet the deposit requirement will result in release of reservation. After a reservation is made, Himalayan Waves Trekking (hereafter called HWT) will send you an invoice including tour acknowledgment, preliminary information, the tour price, the deposit you paid, and the balance due date. The balance of final payment is due 60 days prior to departure. Reservation made within 30 days prior to departure requires full payments at time of booking.

Late Bookings
A late booking fee of $50 per person will apply to bookings received within 30 days prior to departure date of the tour some time it is possible online booking as well.

Change Fees
A fee of $25 per change plus air ticket change fee imposed by airlines will apply to any changes made after the booking has been confirmed and a deposit has been received.

Cancellations:
Full refund, less US$100 administrative fee per person for any cancellations received in writing up to 60 days prior to departure. Therefore, the following cancellation charges will apply:

• 59 -30 days prior to departure : $100 per person.

• 29-8 days prior to departure : $300 per person.

• 7-1 days prior to departure : 50% of tour price per person.

• On or after departure date : 100% of tour price per person.

Airfares are non-refundable once ticket is issued and subject to airlines' rules and regulations.

Refunds:
Refunds will not be made for complimentary accommodations and services provided by airlines. Refunds will not be made if passengers change hotels and services en-route. Tour features or services are not refundable once the trip is made, staff’s travel insurance and handling fee is non-refundable.

Insurance
We strongly suggest you purchase travel insurance especially for Trekking, including trip cancellation, trip interruption, accident, health and baggage. This is for your own protection.

Tour Cost
Tour cost includes all arrangement as mention in itinerary and some where air transportation cost as per mentioned in package. Tour cost is quoted in US dollars and based on nett tariffs and rates of exchange between US dollars and foreign currencies in effect from time to time. Air transportation is via selected airlines.

All airfare are subject to change without prior notice and Domestic airport taxes are include for enroute trek / tour and Customs fees and all foreign airport taxes and International departure taxes at Kathmandu are not included.

All additional expenses including hotel accommodations, meals and transportation caused by sickness, weather, strikes, wars, civil disturbance, quarantines, alterations in ship, air or railroad services or by any other factor beyond HWT’s control are the responsibility of the passengers and will be collected on the spot.

Air Transportation
Air transportation is via selected airlines. All airfares and fare rules are subject to change by the airline. Any fare increase resulted from such changes will be added to airfare cost as per airfare list and be borne by the passenger.

Air transportation within Nepal is provided by the domestic private airlines and “Royal Nepal Airlines” national flag carrier. Airfares are subject to change and any increase in fare will be added to on airfare as mentioned in list and be borne by the passenger.

Baggage
Domestic Airlines offer for free baggage allowance upto 20kg including hand bag as well. We recommend for efficient travel that each passenger travel with 20kg bag which is suitable for trekking and one suitcase for city tour and all excesses bag charges will be collected by concerned person at the airline counter in airport.

Hotel Accommodations
Accommodations are provided on our package tour, Three Star Hotel in Kathamndu and Two Star Hotel in Pokhara; with private bath and air conditioning. In locations where tourism is not well developed, best available properties are featured. Costs are based on two people sharing a twin-bedded room. For persons requiring a single room, the supplemental cost is charging. Right is reserved to substitute hotels for those specified in the itinerary whenever necessary.

Meals
As specified in the itinerary and you may choose from tea - house menu on the trekking period as well while you are in city. Lunch and Dinner are not included while you are in city but Breakfast is included while you are staying at hotel in city.

Transfers and Sightseeing
All transfers and sightseeing are by private coach, car or other conveyance. Transfers to and from airports and hotels will be provided only for tour members utilizing the airspace reserved for the group. Sightseeing tours are as described in the tour itineraries. Sightseeing is restricted to the sightseeing points covered by the tour package cost but entrance fee is not included on package cost. Additional sightseeing points not covered in the tour package cost will incur extra charges on the spot.

Arrangements for the itinerary are solely at the discretion of the local representative, who controls the scheduling of sightseeing and transportation arrangements. HWT has no control over the itinerary and cannot be held responsible for changes.

Passengers must provide their own transfers to and from the specified hotel when arriving and / or departing on flights other than the ones specified by HWT for the specific itinerary.

Tips and Taxes
Hotel taxes are included in the package cost. Airport departure taxes, Nepal domestic airport taxes, Nepal re-entry visa fee and any additional city development / construction fees imposed by the local government are not included in the tour cost and will be collected from each passenger before departure at each airport.

Tips to restaurant and hotel waiters and porters are not included. The customary end-of-the-tour gratuity to tour managers and tips to trekking , sightseeing guides, porters and drivers are not included.

Tour Cost Exclude
Meals not specified in the itinerary, optional tours, airport taxes, charges for passports, visas, expenses on the laundry, liquor, excess baggage charges, usage of telephones, personal, health or baggage insurance, items of personal nature and items not specifically listed as included.

Important Notice
HWT reserves the right to cancel any tour when the number of participants fall below 2 people, a minimum group requirement. The right is reserved to decline acceptance or retention of any person as a tour participant whose health condition makes him/her physically unfit for long trips due to mental illness, heart diseases, serious chronic or contagious illness, physical handicaps, pregnancy, senility or infirmity. In such cases, a full or equitable amount will be refunded, but not to exceed the amount paid by the passenger.

Responsibilities
Himalyan Waves Trekking acts only as agent in making arrangements for transportation, hotel accommodations and other travel services and does not assume any liability for any injury, loss, damage, accident, delay or inconvenience which may be occasioned for any reason by the suppliers or other companies engaged in conveying or accommodating tour members. HWT shall not be liable for and tour members hereby waive any claim against HWT for any acts, omissions, promises and failures of performance by any airline, cruise line, ground operator, other transportation company, hotel or any third party providing services to the tour. All tour itineraries, performance, and prices may be affected by sickness, weather, strikes, wars, civil disturbance, quarantines, air services or by other causes. HWT reserves the right to withdraw an announced tour, substitute hotels, and to make such alterations in the itinerary as may be necessary or desirable for the proper carrying out of the tour and HWT strongly suggests you purchase travel insurance for your own protection.

Tour costs are subject to change. Himalayan Waves Trekking is reserves the right to adjust the listed price at any time for any reason. However, we do not adjust prices once the tour has been confirmed and deposit has been made.
